We recently asked the Colorado Secretary of State’s office for the top common concerns they see with the notary application process (aside from applicants not meeting the eligibility requirements). Below are the main details of their reply, with some added context from us.
Tip 1: Have All Documents Ready Before You Start
The online application asks you to upload several documents. If you do not have them scanned and ready, you will have to stop midway and come back later. Gather everything first. The last two items (training and exam certificates) are already PDFs, so they do not need scanning.
- Affirmation(PDF), signed and notarized, then scanned to be uploaded.
- Acceptable identification, copy of both sides. If you have a Colorado driver’s license or state ID card, you can choose to enter your ID number instead of scanning and attaching a copy.
- If you are not a US citizen, a copy of both sides of your permanent resident card or visa.
- Notary public training certificate of completion from the Colorado Notary Public Training on this website.
- Notary exam certificate showing completion from the state’s website.

Tip 2: Enter Your Email Address Carefully
If there is a typo in your email address, you will not receive information from the state regarding your approval or rejection. The SOS communicates with you primarily through email, so a wrong address means you could miss your approval notice or a request for additional information.
You must also keep this email address current throughout your commission term. If you change jobs and your former employer closes your email account, you will need to contact the state to update your information. Use a personal email address rather than a work one if possible.
Tip 3: Double-Check Names and Signatures
Name mismatches are one of the most common rejection reasons. Make sure the name on your training certificate matches the name on your ID and the name you enter on the application. Your signature must be consistent across all documents but does not need to match your legal name exactly (“Catherine Smith” can sign “Cathy Smith”).
When you have your affirmation form notarized, do not sign it until you are sitting in front of the notary. The notary must witness your signature. If you sign it beforehand and the notary notices, they should refuse to notarize it.
Tip 4: Use a Clear, Legible ID Scan
If you are scanning your ID rather than entering your Colorado driver license number, make sure the scan is clear and readable. Blurry or dark scans get rejected. Photograph both sides. If your ID has a transparent window or hologram that makes scanning difficult, try scanning it at an angle or in brighter light.
Tip 5: Apply Right After Training While It Is Fresh
Complete your training, take the state exam, and apply as soon as possible. The information is fresh, your certificates are ready, and you avoid the situation where you finish training but then let weeks pass before getting around to the exam and application.
